A daily cylinder stock register that fills itself

Every gas agency keeps a register of filled, empty and defective cylinders for each product, every day. DeskGas builds it from what your office already enters, so the closing stock is always worked out the same way and a mismatch shows up the same evening.

What the register shows for each product

For 14.2 kg, 5 kg, 19 kg, FTL and every other cylinder you sell, each day has one row per movement:

  • Opening filled, empty and defective, carried from yesterday's closing
  • Filled received and empties sent back, taken from the IOC truck invoice dated that day
  • Refills sold, added up from each delivery man's deliveries and the godown counter
  • Defective movements and adjustments, each with a reason
  • Closing filled, empty and defective, calculated
  • Physical count (optional): any difference from the calculated closing is shown in red

Why a calculated register beats a written one

On paper, a wrong total on Tuesday is copied into Wednesday's opening and nobody notices until the month-end count. In DeskGas the closing is always opening + received − sold − returned ± adjustments, so a figure cannot drift without someone entering a reason.

Closed days lock the next day. A late change goes through a correction request that the owner approves, and the activity log keeps who changed what and when. That is the kind of record the oil company's Marketing Discipline Guidelines expect a distributor to keep: a daily stock register for filled, empty and defective cylinders of every type.

Truck receipts, shortages and defective cylinders

Enter the IOC truck invoice once: SAP invoice number, filled received, empties returned, price per cylinder, and any shortage or defective quantity. The stock register picks up the cylinders, the cost goes into your profit at the real purchase price (oldest stock first), and a shortage becomes a claim you can follow until it is settled or written off.

Built for how an agency office works

  • One daily-close screen for deliveries, stock, sales, collections, expenses and cash
  • Works on a desktop in the office and on the owner's phone
  • Print the day on A4 pages, with the DeskGas logo and your agency name
  • Up to 5 users in Core, with owner and staff roles

Questions distributors ask

Does DeskGas replace SDMS?

No. SDMS is the oil company's system for bookings, cash memos and cylinder invoices, and you keep using it. DeskGas is your own office register: stock, cash, delivery men, expenses and profit, which SDMS does not give you.

Can I start in the middle of a month?

Yes. Enter your opening filled, empty and defective stock for each product on your go-live date, and the register carries on from there.

What if the physical count does not match?

Enter the count and DeskGas shows the difference against the calculated closing for each product. You can record an adjustment with a reason, which stays in the log.
