Cash that balances every evening, and the profit behind it

Cash in hand is not profit. DeskGas works out how much cash should be in the drawer from the day's sales, collections, expenses and deposits, compares it with what you count, and shows the profit you made on the same screen.

How expected cash is worked out

  • Opening cash, carried from yesterday
  • + sales of refills, NFR items, new connections and other income
  • − UPI and Paytm received, online prepaid bookings and credit given to commercial customers
  • + credit collected
  • − cash expenses and bank deposits
  • = expected closing cash, set against the cash counted, with any short or excess shown

Profit you can trust

Each cylinder sold is costed at the price on the IOC truck invoice it came from, oldest stock first. NFR items are costed the same way. Delivery-man commission, expenses and written-off claims come off, and what is left is your net profit for the day or the month.

Security deposits on new connections are kept apart as money you owe, not income. Free cylinders show their cost separately, so they never hide inside the margin.

Expenses by category

Fuel, vehicle repair, salary and advances, office, rent, electricity, bank charges and the rest, each marked as paid in cash or from the bank. The month's split shows where the money goes.

For your CA

With the Accounts Pack add-on you also get cash, bank and day books, a P&L, ledgers, a monthly GST working sheet and an Excel pack for your CA, who can log in with a read-only login.

Questions distributors ask

Can I track UPI and Paytm separately?

Yes. Enter UPI received in the day, optionally per delivery man. With the Collections Match add-on you upload the Paytm or UPI statement and DeskGas matches each payment to a delivery man and day.

What happens if cash is short?

The difference is shown on the day with an optional reason. The owner sees it on the dashboard, and a short tied to a delivery man can be recovered through Payroll.

Is GST handled?

If you enter IOC prices without GST, DeskGas takes both cost and revenue net of GST at each product's rate (5% domestic, 18% commercial by default, editable).
