Settling with delivery men every evening

By the DeskGas team · Updated

A delivery man who settles daily rarely builds up a shortage. One who settles weekly often does. This checklist keeps the evening settlement short and the numbers clean.

In short

  • Settle every man every day: cylinders, empties, cash and UPI.
  • Write non-DAC reasons the same day.
  • Keep shortages against the person, in writing, until recovered.

The checklist

  • Filled cylinders taken out, by product
  • Cylinders delivered, and which were non-DAC, with the reason
  • Filled cylinders brought back undelivered
  • Empties brought back; filled out minus filled back should equal empties in
  • Cash expected at today's price for his deliveries
  • Less UPI and online-paid bookings
  • Cash handed over, and the difference

Cashless payments

Consumers increasingly pay by UPI. Refusing a cashless payment from an LPG consumer is listed as an irregularity in the Marketing Discipline Guidelines, so delivery men must accept it, and the office must be able to match those payments to the right man and day.

Commission without arguments

Agree rates per cylinder and product in writing, with the date they start. Pay from the daily record, not from memory at month end.

How DeskGas helps

The daily close has one row per delivery man. Expected cash, UPI and the difference are worked out per man, commission builds up daily, and the Collections Match add-on matches your Paytm or UPI statement to each man.
